Position Title: Bookkeeper/Administrative Assistant

Status: Non-Exempt

Reports to: President

Location: International Center, Davis, California

Position Summary

The Bookkeeper/Administrative Assistant provides support to the Program Services Team by processing accounting transactions as well as administrative tasks in order to ensure the effective delivery of technical and training services to Freedom from Hunger partners and the timely development of products, tools and systems to advance the organization’s mission.

Core Duties and Responsibilities

  • Reconcile various general ledger accounts to supporting schedules.
  • Maintain operational files by filing documents in disbursements, receipts and travel files.
  • Accounts payables, including payments via wire transfers.
  • Prepare annual information returns for 1099-INT, 1099-MISC and 1099-R transactions.
  • Review periodic partner expenditure reports for completeness and accuracy.
  • Prepare annual detail quarterly budget workbooks.
  • Manage logistics and preparation of materials for trainings, conferences and events in-house, domestically, and internationally.
  • Provide administrative and clerical support to Program Services Team.
  • Prepare meeting agendas, document and disseminate meeting notes for the Program Services Team and various sub teams.
  • Support fieldwork preparation of Technical Advisors, as requested.
  • Assist in correspondence with client/partner organizations and programs.
  • Manage general communications and requests for information from outside sources.
  • Coordinate and support information collection, uploading, retrieval and dissemination internally and externally to overseas staff.
  • Provide general backstopping to travelers (personal mail, faxes and phone calls).
  • Coordinate and support in-house translation, copy-editing and interpretation, as requested.
  • Participate in special projects as needed.

Knowledge, Skills, Abilities and Prior Experience

  • Educational background in bookkeeping/accounting, i.e., standardized bookkeeping and accounting principles and practices or equivalent experience preferred.
  • Undergraduate degree in appropriate discipline or equivalent experience, preferred.
  • A working knowledge of account reconciliation is required, as well as an understanding of company policies and practices.
  • Strong organizational skills and ability to be flexible, work independently, prioritize tasks and respond to changing deadlines with a positive attitude.
  • Experience working efficiently with Microsoft Office products, such as Excel and Word.
  • Detail oriented and excellent problem-solving skills, planning, and analytical skills.
  • Ability to communicate effectively and tactfully with a variety of individuals within the organization and externally with partners both domestically and internationally.
  • Excellent customer service skills and a demonstrated ability to establish and maintain good working relationships with internal and external customers.
  • Exercise integrity and discretion in all matters and protect confidential information as established by regulatory law and internal policies and procedures.
  • Demonstrated skills to produce correspondence, reports, forms, and statistical data.
  • Ability to compile, organize and present information in a professional manner.
  • May be requested to travel domestically.
  • Excellent verbal and written communications.
  • Accuracy and attention to detail are essential.
  • Fluency in French desired.
