Position Summary
Accurately and efficiently enter donor transactions and information into the database to facilitate segmentation, reporting, security, and storage. Carry out all aspects of donor mail processing, cashiering, and gift entry, and assist in production of donor acknowledgments. Respond to donor inquiries. Assist with donor information projects such as special reporting, data integration, and database queries. Handle all aspects of donor mailings, including merging Word files with results of database queries. Participate in training sessions to acquire proficiency with Raiser’s Edge report generation. Respond to additional needs of the External Affairs division in furnishing timely and accurate information drawn from donor records and the database.
Core Duties and Responsibilities
- Accurately and efficiently enter donor information into the database using donor management software and supplemental databases.
- Carry out all aspects of donor mail processing, cashiering, and gift entry.
- Be responsible for all aspects of the Matching Gifts, Workplace Giving, and Community Network Giving Campaigns, including completing and submitting required paperwork and tracking and acknowledging gifts.
- Handle all aspects of donor mailings, including merging Word files with Excel spreadsheets, collating, and posting.
- Assist with the generation of internal reports for donor segmentation, giving, and data analysis of the reports.
- Assist with weekly and monthly set-piece mailings.
- Assist with the direct-mail cost accounting system and software, including but not limited to data processing, purchase orders, and preparing and distributing reports.
- Assist with the generation of acknowledgment letters and respond to routine donor inquiries, both orally and in writing.
Knowledge, Skills, Abilities, and Prior Experience
- Undergraduate degree in appropriate discipline or equivalent experience preferred.
- Strong working knowledge of Microsoft Office software, mail merge, and database-related software. Knowledge of and experience with Raiser’s Edge software, preferred.
- Demonstrated skills in producing correspondence, reports, forms, and statistical data.
- Proven ability to enter large quantities of data into database accurately and in a timely manner.
- Demonstrated ability to be detail oriented, with excellent problem-solving and analytical skills.
- Strong organizational skills and ability to work independently and be flexible under general direction from management.
- Ability to prioritize tasks and respond to changing deadlines with a positive attitude.
- Ability to communicate effectively and tactfully with a variety of individuals within the organization.
- Excellent customer service skills and a demonstrated ability to establish and maintain good working relationships with internal and external customers.
- Ability to gather, organize, analyze, and present information in a professional manner.
- Occasional travel may be required.
