Position Title: Human Resources Assistant

Status: Non-Exempt, Part-Time (28 hours per week)

Reports to: Manager, Human Resources

Location: Davis, California

Position Summary

This position assists the Manager, Human Resources with a variety of skilled administrative and clerical duties directly related to human resources activities. These include maintaining employee databases and files, processing status changes, assisting employees with benefits enrollments and changes, screening resumes, scheduling interviews for others, checking references, preparing special reports, providing information to employees on policies and procedures, etc. This position also supports other departments with a variety of administrative duties as needed.

Core Duties and Responsibilities

  • Enroll and change employee benefits: Medical, dental, vision, life insurance, and COBRA. Ensure plans are administered in accordance with federal and state regulations and plan provisions are followed.
  • Perform customer service functions by answering employee requests and questions, as well as greeting guests, vendors, and employment candidates entering the building.
  • Verify I-9 documentation and maintain these records.
  • Act as liaison between employees and insurance providers to resolve benefit-related problems and ensure effective utilization of plans and positive employee relations.
  • Ensure company's safety compliance by acting as the Safety Administrator. Follow all OSHA guidelines and fill out required reports. Report or correct hazards as necessary.
  • Assist with unemployment claims, leaves of absence, paid family leave, and State Disability Insurance.
  • Establish and maintain all personnel records and reports.
  • Order office supplies and track inventory.
  • Ship packages and correspondence as requested via DHL, Fed Ex, UPS, etc.
  • Process all payroll-related changes and maintain appropriate records.
  • Maintain billing statements from insurance providers, checking for accuracy and forwarding to Finance.
  • Provide recruitment support as needed.
  • Maintain and update position descriptions.
  • Other projects as assigned.

Knowledge, Skills, Abilities and Prior Experience

  • Minimum of one year human resources experience with working knowledge of state and federal laws as they pertain to human resources.
  • Undergraduate degree or equivalent experience in related field, preferred.
  • Experience in administering employee benefit plans, recruitment and orientation, compensation policies or other human resource functions desirable.
  • Ability to confidentially handle sensitive information and situations required.
  • Excellent writing, editing and documentation skills; provide correspondence, reports, forms, statistical and supporting data.
  • Effective organizational skills and ability to work on multiple projects simultaneously.
  • Detail-oriented and excellent problem-solving, planning and analytical skills.
  • Ability to work with a variety of individuals and diverse management styles in a collaborative, team environment.
  • Experience in a Windows office environment and proficiency in Microsoft Office Suite.
